Read the cancellation policy by starting with the booking confirmation and identifying the rate plan and season. A property policy says cancellation and no-show policies can vary by rate plan and season, so a general cancellation statement may not answer the question for a particular reservation. The applicable booking terms may also address cancellation, early departure, advance purchase and other payment terms.
1. Identify the reservation-specific terms
Before relying on a premium-stay benefit, check:
- the exact rate plan;
- the season or stay dates;
- the cancellation and no-show provisions;
- any stated cancellation deadline, fee or refund treatment; and
- the advance-purchase and other payment conditions.
If the confirmation does not answer a point, the reader should locate the applicable booking terms or request a written clarification. A stay described as premium should not be assumed to have a more flexible cancellation policy.
2. Separate cancellation rules from benefit eligibility
A separate benefits condition states that on-property benefits require a confirmed reservation made through specified channels. That condition matters when checking whether the benefit applies, but it should not be confused with permission to cancel.
The reservation channel, confirmation status and cancellation terms should therefore be checked independently. A confirmed reservation may satisfy a condition for a benefit while still being subject to the stated cancellation or no-show rules.
3. Read the consequences, not just the headline
Early departure, advance purchase and other payment terms may affect what happens if plans change or payment conditions are not met. The policy wording described here does not provide one general deadline, fee or refund outcome for every premium stay.
The reader should look for the treatment of:
- cancellation by the stated deadline;
- failure to arrive;
- early departure;
- advance purchase; and
- other payment obligations.
A benefit included with the stay does not replace these terms. Unless the written conditions expressly say otherwise, the reader should not infer that an included benefit guarantees a full refund, a free cancellation or a particular exception.
What the reader must still confirm
The exact reservation terms remain necessary to answer several practical questions:
- What is the cancellation deadline?
- Is a cancellation fee stated, and what amount is refundable?
- What happens if the guest does not arrive or leaves early?
- Are there advance-purchase or other payment conditions?
- How are changes to the reservation treated?
- Was the reservation made through a channel required for the stated on-property benefits?
The booking confirmation and the applicable terms should be read together. If they do not provide a clear answer, the reader should obtain the missing term in writing before relying on the advertised benefit or making plans based on an assumed refund.
